  1. Intake

    We learn your portfolio, listings, channels, tools, guest flow, cleaner structure, vendors, pain points, time zone, and coverage needs.

  2. Access and SOP setup

    We collect the operating information needed to support your desk: listing links, house rules, check-in instructions, cleaner/vendor contacts, escalation rules, and approved message standards.

  3. Soft launch

    We begin with selected listings, channels, and coverage windows.

  4. Stabilize

    We document recurring issues, refine templates, improve handoffs, and tighten escalation.

  5. Final step: Review

    After 30 to 60 days, we can provide an Operations Health Review showing what we are seeing inside the operation and where the business may need deeper support.

Frequently asked questions

Is Xenia a management company?
No. Xenia Hospitality Operations provides remote operations support. We do not take over pricing, ownership decisions, vendor contracts, local field management, owner relationships, or final approvals unless separately agreed in writing.
Do you replace my team?
No. We support your existing operation. We can work alongside owners, co-hosts, cleaners, vendors, managers, and internal staff.
Can you handle phone support?
Yes. Phone support is available as an add-on depending on volume, hours, and scope.
Can I choose only some listings?
Yes. You can select which listings you want Xenia to support.
Can I choose specific days and times?
Yes. Coverage can be built around selected support blocks at any hours, day or night, in the client's local time zone.
Do you make refund decisions?
No, not unless specific authority is given in writing. We can document, recommend, escalate, and prepare communication, but financial approvals stay with the operator.
Do you work with boutique hotels?
Yes. Xenia can support boutique hotels and small lodging properties with remote guest messaging, after-hours support, housekeeping coordination, maintenance triage, shift reporting, and escalation.
Do you use AI?
We use tools and systems where they help. But Xenia is human-led. The value is experienced hospitality judgment, not automated replies pretending to be operations.
Can Xenia help if my systems are messy?
Yes, but distressed or disorganized operations may require an onboarding cleanup, SOP project, or custom support plan. The standard monthly plans assume a reasonably organized operation with clear access, house rules, cleaner/vendor contacts, and escalation rules.
Can Xenia become a deeper management partner?
Sometimes. Remote desk support is often the starting point. If deeper advisory, partial management, or full-service management makes sense, that can be discussed separately.
